Inbox
The Inbox aggregates every conversation channel into a single view. Email threads, LinkedIn messages, SMS, chat, call results, and meetings all appear in one place — with AI tools to help you respond faster and follow up faster.

Universal Activity Timeline
The Activity Timeline shows all engagement events with a contact in one place.
Instead of viewing each channel separately, you can see everything in a single chronological timeline:
- Emails

- LinkedIn messages
- Meetings
Each event is ordered by time, giving you a complete view of the interaction history across all channels.
Use the timeline to quickly understand where a conversation stands and what has already happened before taking your next step.
Email Management
Mailbox Setup
Connect Gmail or SMTP mailboxes to pull conversations into the Inbox. Each mailbox can be configured with:
- Sync frequency — how often to check for new messages (in minutes)
- Business hours — restrict syncing to business hours only
- Auto-respond — enable AI auto-responses
- Auto-tagging — automatically suggest tags on incoming messages
- Unread limit — number of unread emails to fetch per sync (1–100)
Filtering & Views
Filter your inbox by:
- Mailbox (specific email address)
- Campaign
- Tags (include or exclude)
- Status (sent, AI responded, draft)
- Date range
- Assigned user
- Starred (per-user flag)
All emails are shown in threaded conversation view with full message history. The filter tab bar scrolls horizontally when you have many active filters, so the rest of the inbox UI stays put.
LinkedIn Conversations
LinkedIn conversations sync via HeyReach. From the Inbox you can:
- View conversation history with any LinkedIn contact
- Send messages and InMails
- Create and manage drafts
- Mark conversations as read
- Filter by sequence, LinkedIn account, or date range
- Add and remove tags
LinkedIn Account Management
Manage your connected LinkedIn accounts directly from the Inbox:
- View account configuration
- Activate or deactivate accounts
- Update account settings
SMS
SMS is a full inbox channel with AI-powered composition and response tools.
- Filter tabs - switch between All, Unread, and Drafts
- Phone number selection - choose which number to send from
- AI composition - generate and refine SMS messages using copilot
- Draft management - save drafts, edit, or delete them
- Bounce handling - bounced numbers are automatically excluded from future sends
- Conversation history - view threaded message history per contact
SMS conversations appear alongside email and LinkedIn in the unified inbox view.
Chat (Web Chat & Internal Support)
Web chat conversations from the public widget and internal support chats appear in the Inbox as their own channel.
Starring Chat Conversations
Star important chat conversations to keep them surfaced:
- Click the star icon on any chat conversation card to flag it
- Use the Starred filter in the conversation list to see only flagged chats
- Stars are per-user — each team member has their own starred view
- Combine with tags and assignee filters to build focused inbox views
Composer
The chat composer in the inbox is the same one used by the public widget — it auto-grows as you type long messages, supports file attachments and voice notes, and persists drafts. See Web Chat for full composer details.
Call Results
Call results from the Dialer appear in the Inbox with:
- Disposition — booked, positive, neutral, negative, voicemail
- Transcript — full call transcription
- Duration — call length
- Tags — applied tags (manual or AI-suggested)
- Custom fields — additional call metadata
Meetings
The Meetings channel gives you a meeting-first inbox view built from calendar events. When graph8 finds a transcript, each meeting can be enriched with:
- Executive summary
- Key topics
- Action items and linked follow-up tasks
- Participant and account context
- Transcript status and manual transcript-linking tools
Use Meetings to prep for upcoming calls, review customer and prospect conversations, and catch meetings that still need transcript coverage.
AI Features
Message Composition
The AI can help you write and refine messages across any channel. Apply one or more operations in a single action:

Multiple operations can be combined in a single request (1 credit per transformation).
Booking Meetings from Inbox
You can book meetings directly from an active conversation.
Click the calendar icon in the conversation toolbar, select an available time, and confirm.
The meeting is automatically:
- Linked to the contact
- Added to your calendar
- Visible in the conversation history
AI-Surfaced Meeting & Booking Links
When the AI drafts a reply, it can automatically include the right scheduling link without you having to copy-paste:
- For contacts in an active deal cycle, the AI surfaces the AE’s calendar link
- For inbound interest, the AI uses your default routing form URL
- For follow-ups, the AI inserts the originally-shared booking link from earlier in the thread
- Links are pulled from your connected appointment configuration, not invented — so visitors always land on a working booking page
You can edit or remove the AI-suggested link before sending; the AI just removes the friction of finding the right URL.
Auto-Tagging
The AI suggests tags for emails, chats, and call results based on content analysis. Tags with a confidence score above 0.7 are recommended. Only tags marked as “AI-applicable” are considered.
Auto-Response
Mailboxes can be configured to auto-respond using AI. The system tracks who responded to each message:
- User — a team member replied
- Other — the contact or an external party
- AI — graph8 auto-responded
Workspaces
Organize your team’s inbox with workspaces:
- Create team workspaces with shared access
- Add members to a workspace
- Add shared mailboxes visible to all workspace members
- Role-based access (admin, member)
Tags
Tags help organize and filter conversations:
- Create tags with name, color, and description
- Mark tags as AI-applicable to include them in auto-tagging
- Apply tags to emails, LinkedIn conversations, chats, and call results
- Filter any view by tag
Blocked Senders
Block unwanted senders to keep your inbox clean:
- Block by email address
- Block directly from a conversation
- Blocked senders’ messages are automatically filtered out during processing
