Meetings

The Meetings channel turns your calendar into a working queue inside the Inbox. Instead of jumping between calendar, transcripts, and account records, you can review each meeting with participant context, transcript enrichment, and follow-up tasks in one place.

What Appears in Meetings

Meetings are built from calendar events first. If graph8 finds a linked transcript, the meeting is enriched with summary data, topics, action items, and account context.

Each meeting can be classified as:

  • Customer — at least one external attendee matches an active account
  • Prospect — external attendees are present but not mapped to an active customer account
  • Internal — no external attendees are detected
  • Unknown — the meeting could not be classified confidently

Views

Use the left sidebar to move between saved meeting views:

ViewWhat It Shows
ExternalExternal-facing meetings across customers and prospects
CustomersMeetings classified as customer calls
ProspectsMeetings classified as prospect calls
InternalInternal-only meetings
With TranscriptMeetings with a linked transcript
Missing TranscriptMeetings that still need a transcript link or review

At the top of the list, switch between these scope tabs:

TabWhat It Does
My MeetingsMeetings owned by your calendar context
All MeetingsMeetings visible across the configured team scope
My UpcomingYour future meetings, sorted soonest first
All UpcomingUpcoming meetings across the visible team scope

Filters and Sorting

Use the filter menu to narrow the list quickly:

FilterOptions
TimeframeUpcoming, Past
Transcript statusAll meetings, With transcript, Missing transcript
AudienceAll audiences, Customers, Prospects, Internal
Internal modeInclude internal meetings or focus on external-facing meetings
SearchMatch meeting title, attendees, transcript summary, or transcript text
Sort orderNewest first or oldest first

The default view shows Past meetings. Switch to Upcoming to see scheduled meetings.

Meeting Detail View

Open any meeting to see the full context panel.

The header shows:

  • Meeting title
  • Start and end time
  • Audience badge
  • Transcript status badge
  • Organizer and linked participant chips
  • Open Meeting link when the join URL is available

Executive Summary

When a transcript is linked, graph8 can show:

  • A concise meeting summary
  • Key Topics
  • Campaign Mentions

If the transcript is linked but structured extraction is still limited, the meeting still shows transcript status and raw transcript context where available.

Tasks

graph8 surfaces follow-up work in two ways:

  • Meeting tasks — tracked tasks already created from transcript action items
  • Action items — extracted next steps that still need review or ownership

Each task can show:

  • Current assignee
  • Linked company or record
  • Whether the task still needs assignee review

Meeting Context

The context section can include:

  • Linked account
  • Organizer details
  • Transcript source and link state

Participants

Participant rows can resolve to:

  • Internal team members
  • External contacts
  • Linked accounts

When possible, graph8 shows participant titles, company linkage, and RSVP status.

Transcript

If transcript text was imported, the full transcript body appears in the detail panel. If only a summary is available, the panel explains that the transcript is linked but raw text was not imported.

Transcript Management

Meetings support both automatic and manual transcript linking.

ActionWhat It Does
Find TranscriptOpens likely transcript candidates near the meeting time
Link TranscriptManually attach the best candidate
Mark No TranscriptMark the meeting as not expecting a transcript
Resume Transcript SearchClear the no-transcript state and look again
Remove Manual LinkRemove a manually attached transcript

When you review transcript candidates, graph8 shows:

  • Match confidence
  • Match method
  • Time delta from meeting start
  • Title overlap
  • Attendee overlap
  • Domain overlap

Best Practices

  • Review Upcoming meetings before the day starts so you have account context ready.
  • Check Missing Transcript regularly to keep meeting history complete.
  • Split customer and prospect reviews into separate workflows because follow-up work is usually different.
  • Use the Meetings channel as the handoff point between conversation review and account follow-up.

Troubleshooting

Issue: No meetings appear in the Meetings channel.
Solution: Confirm your calendar is connected and that the meeting falls within the current scope and filters.

Issue: A meeting is showing as internal when it should be external.
Solution: Check the attendee emails and your configured internal domains in Settings -> Docs -> Meetings.

Issue: A transcript is missing.
Solution: Open the meeting, click Find Transcript, and review candidate matches. If no transcript should exist, mark it as No Transcript.
